Making Security a Non-Issue

Protecting sensitive electronic information is of greater concern than ever before.  For those in industries such as healthcare, the need to protect information from unauthorized access is even more critical given the demands of both governmental and organizational security regulations.   And while most of us are aware of the need to protect our intranets, electronic file databases, email systems, etc., not all of us are aware of the need to also protect our peripheral devices from potential security risks.

At the simplest level, many organizations have shared printers that allow employees to print from their desk and retrieve their printed materials from the device.  This often entails weeding through a pile of print outs and allowing others to view – or even take – sensitive information.  In addition, media continue to cast light on the subject of whether peripheral devices save printed/scanned/copied materials on a hard drive that can later be accessed.

So how can you make certain your valuable data is safe from these threats?

Partnering with a provider that recognizes these risks and already has solutions in place to address them is important.  For instance, all Konica Minolta bizhub MFPs ship standard with a wide range of data security functions and features including hard drive (HDD) lock password protection (a feature that password protects the hard disk drives of our bizhub products), HDD job overwrite features, HDD encryption and automatic data deletion.  In addition, Konica Minolta offers biometric authentication options, a variety of card readers and other security software solutions that allow administrators to easily track the sharing and access of secure information. One of our customers that is able to use our security features is Summit Educational Resources. A private organization serving children and young adults with developmental disabilities, Summit needed to modify its document management processes in 2011 to be in accordance with both Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA) regulations.  Working with the local Konica Minolta dealer, Summit installed 17 centralized MFPs with the necessary authentication capabilities to better protect confidential student information. As a result, student-specific documents, including medical records and individual education plans are no longer printed and left sitting on a device for anyone to access. The new security processes enabled by badge readers and PageScope Enterprise Suite, ensure that only approved staff can release and access confidential documents. Konica Minolta’s bizhub SECURE services also enable standard hard drive overwrite for an additional layer of security on all the MFPs.
